Building a consistent attendance warning process for overseas students
How Academywise calculates attendance from class rolls, issues staged warning letters and tracks appeals, so every student is treated the same way.
International students · CRICOS & ESOS
Deferrals queue themselves in your PRISMS register with the 14-day due date already set. Attendance warnings follow your thresholds, and a CoE can't be created until the Genuine Student assessment is approved.
The problem
With Academywise
International details, CoEs, deferrals and attendance all sit on the same profile. Rules run in the background: due dates set by the database, warnings calculated from attendance rolls, expiries flagged by colour.
Capabilities
Items labelled Needs your account or In development are explained on the feature status page.
Store passport, visa and OSHC details with expiry warnings: passports at six months, visas and OSHC at 30 days.
Each variation's due date is set to the event date plus 14 days by the database. Deferrals for international students queue a variation automatically, with countdown badges and CSV export.
Attendance below 85% prompts a first warning, below 80% a second warning with an intervention strategy, then a notice of intention to report with a 20-working-day appeal date. Thresholds are provider policy settings, not legislation.
Every current international student, sorted by lowest attendance, with letters issued and the next action due.
The Create CoE action unlocks only for international students with a submitted and approved GS assessment, checked again on the server.
Run visa entitlement checks through vsure. Marking a student current fills blank visa and passport fields from the latest valid check, without overwriting staff entries.
Create and retrieve CoEs and send supported variations straight to PRISMS. Built and running in test mode while Department of Education access is arranged; test results never touch compliance records.
Load the National Code 2018, ESOS Act and Regulations into the quality workspace to map evidence against each obligation.
Workflow
International details and the GS assessment are captured at admission.
Approved GS unlocks CoE creation on the course.
Attendance, expiries and variations are tracked continuously.
Record PRISMS reports against each variation before the countdown ends.
Benefits
Green, amber and red countdowns turn the 14-day window into a daily to-do list.
Warning letters are generated from attendance data and logged in the student's communications.
PRISMS test-mode results are never written to CoE numbers or variation status.

They are Academywise's default warning thresholds and should match your published attendance policy. Your organisation remains responsible for its policy under the National Code.
The PRISMS API connection is built and running in test mode. Until live access is granted, staff record PRISMS confirmation numbers against each variation in the register.
Agents see their own students' records in the agent portal. Compliance registers and warnings are staff-only.
