Data migration

Switch systems without losing your history

Bring students, enrolments, results, notes, CRICOS details and PRISMS history across from your current system. Dry-run every import first, and undo any batch if it isn't right.

The problem

Migration risk keeps providers on old systems

  • Exports from legacy systems don't match the new system's shape.
  • Duplicate students appear when records are imported twice.
  • A bad import is hard to roll back.

With Academywise

Parse, preview, import, undo

Purpose-built parsers turn legacy exports into Academywise records. Every batch is logged with the rows it created, so undo removes exactly what that batch added and restores what it changed.

Capabilities

What data migration includes

  • Multiple sources

aXcelerate CSV, Meshed CSV and AVETMISS NAT files (NAT00080/85, 00120, 00130).

  • Six record types

Students, enrolments, unit results, notes and interventions, CRICOS details and PRISMS history.

  • Dry run first

Preview counts and issues before anything is written.

  • De-duplication

Students are matched by USI, student number, email and date of birth, or legacy ID.

  • Per-batch undo

Undo deletes only the rows a batch created and restores overwritten CRICOS fields.

  • Historical IDs

Legacy student IDs are kept, shown on the profile, searchable, and accepted on the payment page.

Workflow

How it works in practice

  1. 01

    Export

    Export from your current system.

  2. 02

    Dry run

Preview the import and resolve issues.

  3. 03

    Import

    Students → enrolments → results → notes → CRICOS → PRISMS.

  4. 04

    Verify

Check records; undo any batch if needed.

Benefits

Why it matters

  • 01

    Lower switching risk

Nothing is final until you're satisfied, because every batch can be undone.

  • 02

    History preserved

Notes keep original timestamps and authors; risk notes become interventions.

  • 03

    No duplicates on re-import

Re-running an import matches existing records instead of creating new ones.
