Admissions & enrolment

Every applicant, from first click to current student, in one pipeline

One guided application works for direct applicants, education agents and your own staff. Documents, assessments, offers and CoEs move forward on the same record, so nobody re-keys a thing.

The problem

Admissions shouldn't depend on inbox archaeology

  • Applications arrive by email, PDF and agent spreadsheet in different shapes.
  • Missing documents are chased one message at a time, with no record of what was asked.
  • Offer letters are signed on paper, scanned and filed by hand, and expiry dates are tracked in someone's head.

With Academywise

One application, three front doors

The same 10-step application wizard runs on your public site, inside the agent portal and in the staff app. Drafts are saved separately for each, and every submission lands in one status pipeline your team can work from.

Capabilities

What admissions & enrolment includes

Items labelled Needs your account or In development are explained on the feature status page.

  • 10-step guided application

Personal details, language, schooling, employment, course choice, marketing source, disability, support needs, documents and review, with progress navigation and saved drafts.

  • Clear status pipeline

Draft → submitted → under review → documents requested → approved → offer issued → enrolled or CoE issued. Every change is written to the application's event history.

  • Secure document requests

Request specific documents by secure link. Applicants upload against the request, and staff see exactly what's outstanding.

  • Needs your account

    LLN and digital-literacy invitations

Send one combined invitation for LLN Robot and Digital Robot assessments, with results tracked on the application.

  • Genuine Student assessments

Applicants complete the GS form online; staff approve or reject it with notes. CoE creation stays locked until a GS assessment is approved.

  • Offer letters with online acceptance

Issue an offer, email the signing link and let applicants sign on screen or upload a scan. Offers expire after 28 days, and applicants under 18 need a parent or guardian signature.

Workflow

How it works in practice

  1. 01

    Apply

Applicant, agent or staff member completes the guided application.

  2. 02

    Assess

Request documents, send LLN and digital invitations, review the Genuine Student form.

  3. 03

    Offer

Issue the offer letter; the applicant signs online before it expires.

  4. 04

    Enrol

Mark the student current: fee schedule, accounts and placement eligibility follow.

Benefits

Why it matters

  • 01

    Consistent data from day one

Every channel captures the same fields, so AVETMISS and CRICOS data starts complete.

  • 02

    Fewer follow-up emails

Applicants and agents can see what's outstanding and act on it themselves.

  • 03

    An auditable trail

Status changes, signatures, IP and device details are stored against the application.

Yes. Agents use the same application inside the agent portal. Their submissions are linked to the agency automatically and they can track progress from their student list.

Can staff start an application on a student's behalf?

Yes. Admins can start an application from the enrolments screen, choose a direct or agent channel, and continue straight to the enrolment record.

What happens when an offer letter expires?

Offers expire 28 days after issue and show as Expired in the offer register. Staff can issue a new offer when needed.
